Fiber Cable Sample Approval: From Sample to Bulk Order
Approve what the sample represents, record what it cannot prove, and connect bulk inspection to the same construction revision before authorizing shipment.
Direct answer: approve a defined sample, not an entire future shipment
Label the sample, link it to a dated construction drawing and state exactly what the buyer has accepted. A short sample can help assess identification, dimensions, jacket preparation and compatibility with selected tools or fittings. It cannot demonstrate the delivered length, consistency of every production drum or every performance claim. Release bulk material against the approved specification and agreed inspection plan, with the sample serving as one controlled reference.
Choose the sample's job before requesting it
A catalogue display sample, an engineering sample, a pre-production sample and a piece taken from an identified bulk lot answer different questions. Ask which one is being supplied and whether it uses the proposed materials and process. If a sample is only for appearance or handling, mark that limitation. This prevents a quick visual approval from being interpreted as acceptance of an untested construction or an unrelated production batch.
Freeze the drawing alongside the physical piece
Record fibre type and count, tube arrangement, strength members, armour where relevant, sheath material, dimensional tolerances and the intended termination or mounting interface. These are fields to agree, not default properties implied by a model name. Give the drawing and sample matching identifiers. Where a buyer cannot verify a material by sight, require the agreed declaration or test evidence instead of treating a cut face as proof of material composition.
Make installer feedback specific and reproducible
Replace 'easy to strip' with a record of the tool, preparation method, sample condition, intended connector or clamp and the observed issue. Photograph the prepared end and identify which layer or operation caused difficulty. A handling trial should follow supplier instructions; it is not permission to improvise a destructive field test. Resolve disagreement through a revised sample or written clarification before the bulk order is released.
Retain a reference and record approved differences
If retained samples are required, agree who keeps them, how they are labelled and protected, and for how long. Keep buyer comments, supplier responses and approval together. A sample may omit final printing or use a temporary package; list those differences explicitly. Do not allow an exception accepted for a sample to silently become an exception accepted for production.
Reopen approval when a relevant change occurs
A proposed change in fibre, strength member, tube arrangement, jacket, finished dimensions or termination interface may affect the original decision. The contract should identify changes requiring notification, revised documents, additional testing or another sample. The buyer and supplier should also decide how to treat already-produced material. Written approval should precede substitution, rather than being requested after loading.
Use batch evidence to bridge the sample-to-shipment gap
Before shipment, reconcile the purchase-order revision with the drum schedule, labels, agreed measurements and optical records. Identify which lot or drum was sampled and how the sampling scope was selected. A photograph of one acceptable cut end does not establish the length or condition of every drum. Sampling quantity, acceptance criteria and any witness or third-party inspection must be agreed for the order; this guide does not impose a universal sampling rate.
Keep certification in its proper role
Our factory has ISO 9001 quality-management certification and CE and RoHS documents available on request. Review the holder, scope and applicability of the actual documents when they are relevant to your purchase. ISO explains that quality-management certification is not certification of the product itself. Neither a certificate nor an approved appearance sample replaces the agreed construction and shipment acceptance evidence.
FAQ: Does a sample prove a cable meets every project requirement?
No. Record the checks actually completed and the requirements that still need documentary or test evidence. Unchecked requirements should not disappear when the buyer signs the sample approval.
FAQ: Can one approved sample cover several fibre counts?
Only where the approval explicitly defines the covered configurations and supporting evidence. A different count can change tube arrangement, dimensions or other details; do not extend approval by model-family name alone.
FAQ: What if bulk cable looks slightly different?
Identify the difference and compare it with the approved drawing, tolerances and change record. Appearance alone does not settle conformity. Hold the affected material until the agreed responsible parties resolve the discrepancy.
