Mixed Fiber Orders: When Is a Partial Shipment Ready?

Direct answer: release a usable group of materials

A partial shipment is ready when the buyer can identify what the receiving team will be able to do with it, confirm that the required companion items are included or already available, and reconcile the balance left to supply. A cable drum that is finished first is not automatically the highest-priority item to ship. This guide is for distributors and mixed-order buyers approving dispatch, rather than selecting cable or approving an OEM sample.

Define a receiving task for each release

Ask the buyer to name the depot, customer order or work package served by the first shipment. Then identify the items it depends on: cable may need approved fittings; a termination task may need matching adapters and patch cords. Distinguish 'already at site' from 'ordered elsewhere' and obtain confirmation from the receiving party. A supplier's production-complete status answers a different question from the buyer's ready-to-use status.

Maintain one quantity ledger in consistent units

For every order line, record the approved total, previously dispatched quantity, this release and remaining balance. Keep metres, drums, pieces and sets in separate fields; do not subtract a number of drums from a length order. Identify drum-level lengths where applicable. The balance equals the approved total less prior dispatches and this dispatch, with agreed amendments recorded separately. It is a control equation, not permission to apply an unstated tolerance.

Illustrative reconciliation, not an actual order

Suppose an approved line contains 12,000 metres, an earlier release contains 4,000 metres and the proposed release contains 3,000 metres. The remaining contractual quantity is 5,000 metres before any agreed amendment. The shipment still needs its actual drum identities and lengths. An accessory line ordered as 120 sets must have its own reconciliation and definition of a complete set; cable-length arithmetic cannot prove accessory completeness.

Do not let a shortage become an unapproved substitution

If the planned fitting or connector is unavailable, record the missing line and ask whether the release should wait, exclude the dependent task or use an approved alternative. Keep the original requirement, alternative identification, technical difference and buyer decision together. A substituted item should not disappear under the old SKU on the packing list. Price agreement and technical compatibility should both be resolved by the appropriate parties.

Tie the packing list to this release only

Use a unique release reference and list only what will physically leave in that consignment. Cross-reference the master order rather than presenting the entire order as dispatched. Keep container or transport references distinct from production batch and drum IDs. Before handover, compare the packing record with the proposed release ledger and the agreed inspection evidence. A copied prior packing list can create a believable but incorrect shipment record.

Make the remaining order visible to both teams

After release, issue a dated balance with unresolved lines, responsibility, expected readiness and the next decision point. Separate a confirmed dispatch date from an estimate or a date awaiting buyer information. Check whether the second consignment remains commercially workable: extra handling, storage or freight may affect the buyer's preference. Do not promise savings from splitting without comparing the actual arrangements.

Agree the receiving exception process

Name the contact and evidence needed if the recipient finds a shortage, damage or wrong item. Preserve the release reference, package ID, received quantity and photographs when appropriate. A discrepancy is not resolved by silently reducing the outstanding order; both parties should reconcile it against the dispatch and receipt records. Keep acceptance of this shipment separate from closure of the whole purchase order.

FAQ: Can leftover quantities be rounded to full drums?

Not silently. Record proposed lengths and any quantity or commercial change, then obtain approval. Packaging convenience is not an automatic amendment to the order.
